Ordering and Time Policies

When arranging catering services, we ask that you plan as far in advance as possible. Our preference is that you contact our Catering Department at least two (2) weeks before the event. The Catering Department will make every effort to satisfy your requests for functions booked less than 10 days prior to the event date, although full-service catering or delivery cannot be guaranteed with less than a 10-day notice. A 15% late fee is charged for any function booked four (4) business days or less prior to your event.

A purchase order approval may be required before we can move forward with your event. Please reach out to the campus Purchasing Coordinator to confirm. When arranging for catered services, we ask that you plan as far in advance as possible so that a purchase order can be obtained if needed, and the event details can be finalized.

Information Helpful in Making Your Arrangements

  • Theme, or reason for your event.
  • Special layout needs (reserved seating, table/chair rental, audio/visual).
  • Weather – is an alternate site required due to rain?
  • Premium Disposable, Eco Friendly Disposable, China service? (China may not be available for all events due to location restrictions. Additional fees for use of China will apply)
  • Style of service (i.e., served, buffet, delivery, pickup).
  • Program details – awards ceremonies, speakers, etc.
  • Floral arrangements and centerpieces?
  • Budget parameters?
  • Special dietary considerations? (Vegetarian, Gluten Free, Dairy Free, etc.)
  • Form of payment (i.e., budget number, direct billing, cash, credit card).

Room Setup, A/V and IT Needs

The client is responsible for the setup of any tables, chairs, or equipment needed for your event. Please submit all your setup needs through the proper channels at the start of your planning process. If you require any special room layout or design, tables or chairs, screens, Power Point, DVD or CD players, please place your work order as soon as possible so that Facilities and IT can accommodate your needs. If you need assistance, Parkhurst Dining will be happy to refer you to the proper department.

Linens

Linens for any food or beverage related tables for on-Campus events are provided at no additional charge. Linens requested for any non-food related tables, or special-order linens can be ordered for an additional charge. The number of linens needed for the event will need to be confirmed five (5) business days before your event so there is adequate time to order. Linen is unavailable for events that Parkhurst is not catering for or participating in.

Trash

The client is responsible for providing adequate trash receptacles for their event. Parkhurst will remove any food related trash only at the end of your event and during your event as needed. Any trash that occurs after the end of your catering will be the client's responsibility for cleanup. If you have multiple food vendors or non-food-related trash for your event, please request assistance from Building services for your event's duration.

Types of Service

For any delivery drop off, a $125 food order minimum is required. For catering setup on campus, a $150 food order minimum is required. Pickup options are available for orders that do not meet the minimum.

  • Served – All courses are served at your table. Depending on the time constraints of your event, the salad and/or dessert courses can be pre-set. Pricing is based on a single-menu entrée selection.
  • Buffet – This style of service offers a variety of menu choices. Quantities of food prepared will adequately serve the number of guaranteed guests. This, however, does not imply all-you-can-eat. Buffets for less than 25 people may incur an additional charge.
  • Delivery setup/pickup – Deliveries made with a setup required. A minimum order of $150.00 is required for any delivery order.
  • Delivery drop-off – Deliveries made on campus with no setup required. A minimum order of $125.00 is required for any delivery order.
  • Pickup service – Carry-out service can be arranged for items you may wish to pick up from Dining Services.

Service Charges

Most meals include the price of appropriate wait staff. If an extra attendant is requested the following amount will be charged:

  • Server/Attendant/Bartender– $35.00 per hour – 4-hour min.
  • Chef – $35 per hour – 4-hour min.

Attendant/chef charges will require one hour for setup and one hour for cleanup in addition to the scheduled time of the event. This is in addition to the charges listed above.

Pricing

We reserve the right to adjust or change pricing from that printed based on location, seasonal availability and current market price of products found on our Catertrax Website. Sales tax will be added to the bill for all non-Marietta College events unless proof of exemption is provided.

Final Guarantee

At the time of booking, we will email you a copy of the event sheet for your final approval. We ask that you confirm the event sheet through the catering department to verify that you approve the final menu and pricing. A final guaranteed number must be given to the Dining Services Catering Office no later than 72 hours (4 business days) prior to the event. If no final count is obtained, we will prepare and charge for the original number of guests.

Payment Arrangements

At the beginning of the planning process, we can offer an estimate invoice to submit to the Marietta College Accounting Office to begin your process of obtaining a purchase order number. Students placing catering orders must have an adviser to oversee the planning process and payment for the event.

Food Safety

Parkhurst Dining at Marietta College takes exceptional care to follow recommended proper food handling procedures to help reduce the risk of foodborne illness. These guidelines include not serving or making available for service any food or beverage that was not produced or supplied by Parkhurst Dining or one of our approved vendors.

Alcohol Service

Please discuss the service of alcoholic beverages with our Catering Director to ensure compliance with college policies.

Notes

The Catering Department reserves the right to substitute items based on product availability. We will make every attempt to inform you of this change as far in advance as possible.
